Privacy Policy

Effective 29 September 2026.

This policy explains what personal information the Inniv8 website (inniv8.com) collects, why, how long we keep it, and what you can ask us to do with it. We have written it to describe what this site actually does, in plain words. If something here is unclear, ask us and we will explain it.

The short version

  • If you send us an enquiry, we use your details to reply to you and, if you want to work with us, to do that work. That is all.
  • If you use the chat assistant on our site, an AI service (currently OpenAI) processes your messages so it can reply, and we keep the conversation for two years.
  • We use Google Analytics to count visits and see which pages are read, so we know what is useful. It sets cookies in your browser. We do not use advertising trackers.
  • We never sell your information, and we do not share it for anyone else’s marketing.
  • You can ask to see, correct or delete what we hold about you at any time by emailing contact@inniv8.com.

Who we are

Inniv8 is a technology services business based in the Philippines. For the purposes of the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), we are the personal information controller for the information collected through this website.

What we collect, and when

When you use our contact form

The form asks for your name, email address and message, which service you are interested in, and, if you choose to give them, your phone number and company name. When you press send, these details are emailed to our own inbox at contact@inniv8.com. They are not saved in the website’s database.

When you email or call us

We receive whatever you choose to send us: usually your name, contact details and what you need help with.

When you use our chat assistant

Our site has a chat assistant powered by Smaigent, an AI assistant we build and run ourselves. You are talking to an AI, not a person. It can answer questions about our services and, if you want, take your contact details and book an appointment with us.

When you use it, we collect the messages you type, the assistant’s replies, the time of the conversation, and any contact details you give it (usually your name, email address, phone number and the appointment you want). Please do not share sensitive information in the chat, such as passwords, payment card numbers, or health or financial details. The assistant does not need them.

Automatically, when you visit any page

Like almost every website, our server records a basic log of each request: your IP address, the date and time, the page you asked for, the page that linked you here, and your browser type. We use these logs only to keep the site running and secure, for example to investigate errors or attacks. They are deleted automatically after about six weeks.

To stop spam

To protect the contact form from automated spam, we use your IP address to limit how many messages can be sent from one address in an hour. That record expires after one hour. If a submission is blocked as spam, we keep a short note of it (the IP address, the time, and a brief summary of why it was blocked) so we can check that real messages are not being caught by mistake. Only the 50 most recent blocked submissions are kept. Older ones are overwritten automatically.

Visitor statistics (Google Analytics)

We use Google Analytics to understand how the site is used: how many people visit, which pages they read, how they found us, roughly where in the world they are, and what kind of device and browser they use. Google Analytics does this by setting cookies in your browser and sending information about your visit to Google. It does not tell us who you are, and Google Analytics does not store your IP address. We look at this information only in totals, to decide what to improve on the site.

What we do not collect

We do not use advertising or social media tracking pixels, or session recording, and we do not use Google Analytics for advertising. We do not build profiles of individual visitors. There are no user accounts for the public and no comments on this site.

Cookies

This site uses two kinds of cookies:

  • Google Analytics cookies (named _ga and _ga_SHZV517X13), which let Analytics recognise a returning browser and count visits. They last up to two years unless you delete them.
  • Login cookies, which WordPress sets only for our own staff when they sign in to manage the site.

You can block or delete cookies in your browser settings, and the site will still work. You can also stop Google Analytics on every website by installing Google’s opt-out browser add-on.

Our Contact page also shows a map provided by Google Maps. When that page loads, your browser connects to Google to display the map, which shares your IP address with Google, and Google may set its own cookies. Google handles that information under its own privacy policy. If you prefer to avoid this, you can contact us by email or phone without opening the Contact page.

Why we use your information

  • To reply to you and discuss what you need. This is based on your request to us.
  • To answer you in the chat and book the appointments you ask for. This is based on your request to us.
  • To check the quality of the chat assistant. Our administrators may read chat conversations for this purpose only, to correct mistakes and improve its answers. This is our legitimate interest in making sure it gives you accurate information.
  • To prepare a proposal and deliver work if you decide to become a client. This is necessary to enter into and carry out our agreement with you.
  • To understand how the site is used through Google Analytics, so we can improve it. This is our legitimate interest in running a useful website.
  • To keep the site and our systems secure, including blocking spam and attacks. This is our legitimate interest in protecting the business and the people who use the site.
  • To meet legal obligations, such as keeping invoices and business records as Philippine law requires.

We will not send you marketing emails unless you ask to receive them, and you can stop them at any time.

Who we share it with

We share personal information only where it is needed to run the service, and never sell it.

  • Our hosting provider. This website and our email run on a server we manage ourselves, rented from Contabo and located in Singapore. Contabo provides the hardware and network. It does not use the information on the server for its own purposes.
  • OpenAI, which provides the AI model behind our chat assistant. Your chat messages are sent to OpenAI so it can generate a reply. Under OpenAI’s terms for business use at the time of writing, it does not use this information to train its models and keeps it for no more than 30 days, for abuse monitoring. OpenAI is based in the United States. We may use additional or different AI providers in future. If we do, we will name them here before your messages are sent to them.
  • Our email and calendar services, which receive the contact details and appointment information you give the chat assistant, so that we can follow up and keep your booking.
  • Google, which provides Google Analytics and processes the visit information described above on our behalf, and which also receives your IP address when you view the map on our Contact page.
  • Authorities or professional advisers, only where the law requires it or where it is necessary to establish or defend a legal claim.

Information stored outside the Philippines

Because our server is in Singapore, information you send through this site is stored there. We remain responsible for it under the Data Privacy Act wherever it is stored, and we protect it with the same measures described below. If you use the chat assistant, your messages are also processed by OpenAI in the United States, and Google may process Analytics information in the United States and other countries where it operates. We also work with clients in other countries, so correspondence with you may pass between the Philippines and the country you are in.

How long we keep it

  • Enquiries that do not lead to work: up to two years after our last contact, so we have context if you get in touch again. You can ask us to delete them sooner.
  • Client records: for as long as we work together, and afterwards for as long as Philippine tax and business law requires us to keep invoices and contracts.
  • Chat conversations: two years, stored on our Smaigent platform, then deleted. You can ask us to delete yours sooner. Appointment details sent to our email and calendar are kept as long as we need them to serve you, under the same rules as enquiries and client records.
  • Google Analytics: detailed visit information is kept in our Analytics account for no longer than 14 months, then deleted by Google. Totals, such as monthly visit counts, may be kept longer because they no longer relate to any individual.
  • Server logs: about six weeks, then deleted automatically.
  • Spam protection records: one hour for rate limiting; the 50 most recent blocked submissions for the blocked log.

How we protect it

The whole site is served over an encrypted HTTPS connection, including the contact form. We keep the server patched and monitored, restrict who can access it, block repeated failed login attempts, and take regular backups. Only people at Inniv8 who need your information to help you can see it. Chat conversations can be read only by our administrators, and only to check quality.

No system is perfectly secure, and we will not pretend otherwise. If a breach ever affected your personal information in a way that put you at real risk, we would tell you and the National Privacy Commission as the law requires.

Your rights

Under the Data Privacy Act, you have the right to:

  • be told how your information is used, which is what this policy is for;
  • get a copy of the personal information we hold about you;
  • have it corrected if it is wrong or incomplete;
  • object to how we use it, or withdraw consent you have given;
  • have it deleted or blocked when we no longer have a valid reason to keep it;
  • receive it in a commonly used electronic format;
  • complain to the National Privacy Commission, and claim damages if you are harmed by a violation of your rights.

To use any of these rights, email contact@inniv8.com. We may ask you to confirm your identity before we act, so that we never hand your information to someone else. We will reply within 30 days, and usually much sooner. It costs you nothing.

If you are not satisfied with our answer, you can contact the National Privacy Commission. If you live outside the Philippines, you may also have rights under the privacy laws of your own country. Tell us where you are and we will handle your request on that basis too.

Children

This site is meant for businesses and is not directed at anyone under 18. We do not knowingly collect information from children. If you believe a child has sent us personal information, tell us and we will delete it.

Work we do for clients

This policy covers our own website. When we build, host or manage websites and systems for clients, we may handle information about their customers. We do that only on the client’s instructions and under our agreement with them, and that client’s own privacy policy applies. If your question is about one of their services, please contact them first, and we will help them respond.

Changes to this policy

If we change how the site handles personal information, we will update this page and the date at the top. If a change is significant, we will say so clearly here.
